Description

A private estate is seeking an experienced, full-time Grounds & Property Manager who is an animal lover and comfortable working in an environment where animals are part of everyday life on the property. This opportunity is based in the greater Nashville, Tennessee area and offers the chance to steward a unique estate environment where trust, care, and attention to detail truly matter.

In this role, you will oversee the overall condition, safety, and operational readiness of a large-scale private estate encompassing approximately 1,000 acres and multiple structures. The ideal candidate brings a balance of thoughtful planning and hands-on leadership, ensuring the property is consistently well maintained, welcoming, and ready for family life and ranch life.

Operating largely behind the scenes, you will manage daily operations, long-term projects, and vendor partnerships with discretion, professionalism, and strong ownership. Success means anticipating needs before they arise, solving problems proactively, and creating an environment where everything runs smoothly and seamlessly.

Responsibilities:

Grounds & Exterior Management

  • Oversee all landscaping, irrigation, trees, hardscape, lighting, and exterior features.
  • Ensure grounds are pristine, healthy, and seasonally appropriate year-round.
  • Identify and address safety concerns related to walkways, slopes, lighting, drainage, and fencing.
  • Coordinate planting schedules, trimming, fertilization, and pest control programs.
  • Inform and oversee vendors
Property Maintenance & Oversight
  • Monitor overall property condition and proactively address wear, damage, or deterioration.
  • Coordinate maintenance and improvement efforts across extensive grounds and multiple structures.
  • Support long-term planning for a large, multi-structure estate environment.
  • Perform light maintenance and troubleshooting; escalate specialized work as needed.
  • Coordinate routine inspections and preventative maintenance schedules.
  • Maintain property readiness for events, guests, and executive use.
Vendor & Contractor Management
  • Source, schedule, and manage trusted vendors and contractors.
  • Ensure quality of work, timelines, discretion, and cost control.
  • Be present during on-site work when required to ensure standards are met.
  • Maintain strong relationships with preferred vendors and service providers.
Planning & Improvement
  • Assist with property improvement projects and long-term planning.
  • Provide recommendations for enhancements, repairs, and efficiency improvements.
  • Support renovation or construction efforts as needed.
  • Maintain documentation related to maintenance schedules, vendor work, and property projects.
Privacy & Discretion
  • Operate with absolute discretion and respect for privacy at all times.
  • Remain alert to anything unusual or out of place on the property.
  • Coordinate with household staff as necessary.
  • Maintain a calm, professional, and composed presence in all situations.
Ad Hoc & Hands-On Support
• Provide flexible, hands-on support as needed to ensure seamless day-to-day operations (e.g., stepping in for short-notice gaps such as walking dogs, caring for animals, coordinating last-minute deliveries, or addressing immediate on-site needs).

Work Schedule & Benefits

  • Full-time, Exempt position
  • Monday-Friday, 8:00 AM-5:00 PM, this role requires flexibility based on operational needs, seasonal priorities, and estate demands, including occasional evenings and weekends
  • Regular travel between multiple property locations is expected
  • Car provided
Requirements
  • Proven experience in property, estate, facilities, or grounds management in a high-standard or executive environment.
  • Strong vendor and contractor management skills with an eye for quality, timelines, and cost control.
  • Highly organized, proactive, and detail-oriented with strong problem-solving abilities.
  • Demonstrated ability to operate with discretion, professionalism, and sound judgment.
  • Approach unexpected tasks with a solutions-oriented mindset and a “no task too small, no detail overlooked” standard of service.
  • Comfortable managing multiple priorities in a dynamic, fast-paced environment.
  • Excellent communication and relationship-building skills.

  • Comfortable operating independently while collaborating with household, security, and leadership teams.
