Hardwood Operations Assistant

We are looking for a Hardwood Operations Assistant to support our Sales Department (Chris) and Hardwood Division Manager (Scott). This position is primarily field-based and focuses on ensuring seamless communication between sales, operations, installation crews, and customers. The Hardwood Operations Assistant helps maintain project quality, supports the sales process, assists with project coordination, and ensures jobs are completed to company standards while delivering an exceptional customer experience.

Essential Responsibilities

Sales Support

• Assist with developing and maintaining relationships with builders, contractors, and homeowners.
• Support both residential and commercial sales efforts through customer communication and field visits.
• Conduct hardwood flooring estimates as assigned.
• Follow up on estimates and customer inquiries.
• Assemble flooring samples and presentation materials for customers and builders.
• Assist with additional sales initiatives and business development efforts.

Project Support

• Assist the Hardwood Division Manager with active project coordination.
• Perform jobsite quality inspections using company quality checklists.
• Conduct pre-installation, progress, and final walkthroughs with customers as needed.
• Help coordinate project schedules, material deliveries, and field communication.
• Identify quality concerns early and communicate corrective actions.
• Document project progress with photos, notes, and reports.
• Support efforts to maintain project profitability by reducing rework and improving installation quality.

General Responsibilities

• Serve as a communication link between customers, sales, installers, and management.
• Represent the company professionally on all jobsites.
• Maintain accurate project documentation and customer records.
• Assist with continuous improvement of field processes and customer experience.
• Drive box truck and company vehicle for material deliveries.
• Perform additional duties as assigned to support company goals.

Qualifications

• High school diploma or equivalent.
• Valid driver's license with a clean driving record.
• Strong organizational and communication skills.
• Ability to manage multiple priorities while working independently.
• Comfortable working in both customer homes and active construction environments.
• Proficient with smartphones, tablets, Microsoft Office, and other business software.

Preferred

• Experience in the hardwood flooring industry.
• Experience in flooring installation, project coordination, estimating, or field supervision.
• Knowledge of hardwood flooring products, installation methods, and industry best practices.
• Customer service or sales experience within the construction or flooring industry.

Work Environment

This position is primarily field-based and requires frequent travel to customer homes, construction sites, and builder locations. Occasional office work will be required for meetings, planning, and administrative tasks.

Physical Requirements

• Ability to stand, walk, bend, and climb stairs throughout the workday.
• Ability to lift and carry flooring samples and materials weighing up to 50 pounds.
• Ability to work in residential and commercial construction environments.
• Ability to operate a motor vehicle for frequent local travel.

Success in this role is measured by improved job quality, proactive communication, timely project support, and the ability to reduce the day-to-day workload of the Sales Manager and Hardwood Division Manager while enhancing the customer experience.
