Insurance Estimator / Project Coordinator

Description

A growing residential construction company specializing in new construction and insurance/fire rebuilds in the Los Angeles market is seeking an Insurance Estimator / Project Coordinator to join our team in Burbank, CA. This dual-function role is central to our insurance rebuild operations — combining technical estimating expertise with hands-on project coordination to move claims from scope of loss through construction completion.

The ideal candidate is proficient in Xactimate, comfortable reading architectural plans, performing field measurements and take-offs, and coordinating with insurance carriers, adjusters, homeowners, and subcontractors. If you thrive in a fast-paced environment and take pride in accuracy and client communication, this is an opportunity to make a direct impact on families rebuilding their homes.

Key Responsibilities

Estimating & Xactimate:

  • Prepare detailed insurance estimates using Xactimate for residential fire, water, and storm damage claims.
  • Develop accurate scopes of loss and supplemental estimates in coordination with insurance adjusters and carriers.
  • Perform field measurements, material take-offs, and quantity surveys directly from job sites and architectural plan sets.
  • Read and interpret construction plans, blueprints, and specifications to ensure estimate accuracy and completeness.
  • Identify line items, code upgrades, and code-required work to maximize legitimate supplement recovery.
  • Maintain up-to-date knowledge of Xactimate pricing, local labor rates, and material costs.
Project Coordination:
  • Serve as the primary point of contact for assigned insurance rebuild projects from initial scope through certificate of occupancy.
  • Coordinate scheduling and sequencing of subcontractors, inspections, and material deliveries to maintain project timelines.
  • Manage project documentation in BuilderTrend including schedules, purchase orders, change orders, selections, and daily logs.
  • Track change orders and supplements throughout the project lifecycle; document scope changes and obtain approvals from carriers and homeowners.
  • Attend pre-construction and in-progress site meetings; document action items and follow through to resolution.
Insurance Carrier & Adjuster Relations:
  • Build and maintain productive working relationships with insurance adjusters, third-party administrators, and carrier representatives.
  • Negotiate scope and pricing disputes professionally, using Xactimate documentation and field evidence.
  • Track claim status, supplement submissions, approvals, and payment releases across an active portfolio of projects.
Homeowner Communication:
  • Guide homeowners through the insurance rebuild process, setting clear expectations around scope, timelines, and selections.
  • Communicate project status updates proactively; escalate concerns to the Project Management team as needed.
  • Collaborate with the Design Studio team to coordinate finish selections and keep projects on schedule.
Documentation & Compliance:
  • Upload and maintain all project records in BuilderTrend for full team visibility and audit compliance.
  • Ensure subcontractor compliance documentation, contracts, and insurance certificates are current for all assigned projects.
  • Assist with permitting applications and coordinate with city/county departments and utility agencies as needed.
Qualifications

Required:

  • Proficiency in Xactimate (X1 or desktop); ability to write and review estimates independently.
  • Demonstrated ability to perform quantity take-offs and field measurements for residential construction projects.
  • Ability to read, interpret, and work from architectural plans, blueprints, and construction documents.
  • Minimum 2–3 years of experience in insurance estimating, restoration, or residential construction coordination.
  • Strong written and verbal communication skills; able to interface professionally with homeowners, adjusters, and trade partners.
  • Highly organized with the ability to manage multiple active projects simultaneously.
Preferred:
  • Experience with BuilderTrend or comparable construction project management software.
  • Familiarity with California residential building codes and fire rebuild requirements.
