WE'RE LOOKING FOR A PARTS MANAGER WHO ACTUALLY LIKES PARTS

On Time Truck Repair is a family-owned commercial truck and trailer repair shop in Sanford, and we're looking for an experienced Parts Manager who can take ownership of our parts department and keep things moving.

If you know the difference between a part that's "on the way" and a part that's actually on the way, we probably want to talk to you.

This isn't a job where you sit behind a counter and wait for someone to ask for something.

You'll be the person making sure our technicians have the right part, at the right time, at the right cost, and assigned to the right repair order.

You'll work directly with our Shop Manager, technicians, vendors, customers, and ownership. You'll manage purchasing, receiving, inventory, returns, cores, warranties, pricing, and all the little details that keep a truck repair shop from turning into organized chaos.

We work on our own fleet and outside customer equipment, so what happens in the parts department has a direct impact on technician productivity, turnaround time, customer satisfaction, and shop profitability.

WHAT YOUR DAY WILL LOOK LIKE

• Find and purchase parts for heavy-duty trucks, tractors, trailers, and related equipment.
• Use VINs, serial numbers, catalogs, diagrams, and vendor systems to make sure you're ordering the right part the first time.
• Compare price, quality, availability, freight, and delivery times.
• Build strong relationships with parts suppliers and vendors.
• Negotiate pricing, discounts, purchasing programs, and freight when it makes sense.
• Create and maintain accurate purchase orders.
• Make sure every part gets assigned to the correct repair order, truck, trailer, customer, or inventory account.
• Receive incoming parts and verify quantities, pricing, part numbers, and condition.
• Deal with shortages, wrong parts, damaged shipments, and pricing issues before they become someone else's problem.
• Keep physical and electronic inventory accurate.
• Maintain appropriate stocking levels for commonly used parts.
• Perform cycle counts and help with physical inventory.
• Investigate inventory discrepancies instead of just adjusting them and moving on.
• Keep the parts department clean, organized, and easy to work out of.
• Issue parts to the correct technician and repair order.
• Track trucks and repair orders that are waiting on parts.
• Stay on top of backorders and outstanding orders.
• Keep technicians, management, and customers informed when something is delayed.
• Help reduce technician downtime caused by missing or incorrect parts.
• Catch duplicate orders, unnecessary freight, and parts we really don't need three of.

RETURNS, CORES & WARRANTY

If you've worked in parts, you already know how quickly this area can turn into a black hole.

We don't want a black hole.

You'll own the return and core process from beginning to end.

• Properly tag and document returns and cores.
• Record the related repair order or sales order, vendor, and date.
• Maintain an organized area for returns, cores, and warranty parts.
• Return cores before deadlines expire.
• Track outstanding core credits.
• Track vendor returns until the credit actually shows up.
• Process warranty parts according to vendor and manufacturer requirements.
• Maintain warranty documentation.
• Follow up on outstanding warranty claims and credits.

PARTS PRICING & PROFITABILITY

Inventory is company money sitting on a shelf.

We want someone who understands that and manages it accordingly.

• Monitor parts costs and selling prices.
• Maintain established markup and gross-margin standards.
• Review unusual pricing or margin issues.
• Find better vendors when there's a better option.
• Control unnecessary expedited freight.
• Identify slow-moving and obsolete inventory.
• Prevent inventory shrinkage and undocumented parts usage.
• Recover vendor, core, and warranty credits.
• Keep management informed about purchasing trends, inventory levels, parts usage, and vendor performance.
