Service Dispatcher Support & Admin Coordinator

Description

We are looking for an individual with HVAC Service dispatch experience, billing experience and would provide overall office support.
The individual would assist with dispatch duties and work with service technicians. The candidate would support service operations and assist in ensuring high technician productivity, strong customer satisfaction, and profitable department performance. The candidate would also assist with service quotes, extended maintenance agreements and maintain accurate service records in software systems. They would have experience resolving issues as they arise and manage service or job follow ups.
This position would support financial and administrative operations in the areas of invoicing and billing with Quickbooks and support permit, rebate and inspection processing. This role ensures accurate financial records, smooth permitting workflows, and effective communication across departments
Qualifications

  • 5+ years of administrative, bookkeeping, or office coordination experience preferred.
  • Experience with QuickBooks or similar accounting software.
  • Strong organizational and documentation management skills.
  • Excellent communication and phone handling skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Experience in HVAC, construction, or service industries preferred.
